Purpose of the role Under the supervision of the Reservations supervisor, the Reservations Agent is responsible for the handling of reservations in a commercial manner through maximization of revenue via upselling and proactive selling techniques in line with Steigenberger standards. Main tasks and responsibilities • Converts bookings requests to confirmed bookings in the most commercial way (phone calls, emails). • Enters/registers confirmed individual bookings in system (up to 9 rooms). • Follows up reservations enquiries according to Steigenberger standards. • Ensures all concerned departments are informed of VIP guests. • Identifies news accounts to develop sales leads. • Be aware of all hotel activities that impact guests. • Ensures a high level of product knowledge of the hotel, the local area, competition and events taking place in Brussels. • Supports each other in the organisation for the office. • Has a sales attitude and customer service attitude at all times and maintain it. • Communicates with the Reservations supervisor about the daily availabilities changes and any trends relating to business. • Maintains high quality standards of bookings in system via checks (profiles, specials codes, company profiles, …). • Takes bookings deposits. • Chases all non-guaranteed bookings to maximise occupancy. • Monitors and resolves OXI warnings/errors. • Handles notifications, changes, and cancellations. • Ensures accuracy of all bookings by doing arrivals checks (1,3 and 7 days out) – (duplicate, routing, …). • Chases waiting list guests and chooses the best pieces of business to confirm. • Sends confirmations emails. • Shows enthusiasm and initiative by bringing new ideas to improve department. • Handles no shows and late cancellations. • Does the “Reservations made yesterday” reports (highlight the high rates bookings, the long stays bookings and potential sales leads). • Does the bookings reconciliation in Booking.com and Expedia. • Cross sells hotel outlets
